We are seeking an experienced and detail-oriented Manufacturing Office Administrator to join our team and support customer accounts, data entry, order processing, shipping and receiving documentation, and general office administration within our manufacturing environment.

We are seeking an experienced and detail-oriented Manufacturing Office Administrator to join our team and support customer accounts, data entry, order processing, shipping and receiving documentation, and general office administration within our manufacturing environment.
JOB DESCRIPTION
- Support the sales team and specific customer accounts, including customer service support, sales order processing, shipping documentation, and invoicing.
- Handle shipping and receiving responsibilities, including preparing Bills of Lading (BOLs), coordinating shipments, and ensuring shipping documentation is accurate and complete.
- Work closely with the Shipping & Receiving team to coordinate customer shipments and resolve any shipping-related issues.
- Communicate with customers regarding orders, shipments, delivery requirements, and other account-related needs.
- Maintain customer accounts and provide accurate data entry and order information.
- Gain product knowledge to field customer questions and provide quality service to customers.
- Provide internal status updates on customer orders and report on any quality-related issues that may arise.
- Draft and submit quotes for potential orders.
- Communicate clearly and professionally with customers and internal departments.
- High school diploma or equivalent required; additional education in business administration or a related field is a plus.
- 2–3 years of experience in an administrative, customer service, order processing, or similar office role preferred.
- Previous experience in a manufacturing environment is preferred.
- Strong written and verbal communication skills with the ability to communicate professionally with customers, vendors, and internal departments.
- Strong organizational skills and attention to detail, with the ability to manage multiple priorities and meet deadlines.
- Proficient with Microsoft Office, including Outlook, Excel, Word, PowerPoint, and Access.
- Ability to learn and effectively use an ERP system for customer orders, shipping, invoicing, and related processes.
- Experience with shipping documentation, including Bills of Lading (BOLs), is preferred.
- Ability to work collaboratively with Sales, Shipping & Receiving, Production, and other internal departments.
- Strong customer service skills and a professional, solutions-oriented approach.
- Ability to accurately enter and maintain customer, order, and shipping information.
- Ability to work independently while also functioning effectively as part of a team.
